THE ROLE
The Senior Manager, Finance and Contracts reports to the Director of the Operations team. In this role, you will contribute financial expertise in the design and implementation of finance tools and systems, development of financial policies and practices, and manage the various financial tools (e.g. expense management, QuickBooks Online). You will work closely with the Director of Operations and SchoolKit’s accounting firm while also taking ownership of finance-focused workstreams at the project and organizational level.
A successful candidate will be a team player with a passion for operations and finance work, including building scalable, efficient financial systems and processes, and will have experience in roles that require fast-paced learning. The ideal candidate is able to work independently on projects, identify and implement solutions, and lead others to action. They have superior organizational skills and are adept at tackling both small, detail-oriented tasks and implementing large-scale systems by asking insightful questions.
This position can be based from a home office anywhere in the U.S. Depending on location, expected travel time is 10 - 20% for onsite project work, company or team retreats, and other events.

RESPONSIBILITIES
Finance Operations (50 - 60%)
- Work with SchoolKit’s accounting firm and other staff to ensure QuickBooks is up-to-date and accurate, including categorizing transactions, creating or updating journal entries, and establishing and closing out projects in QuickBooks
- Track and monitor project-level expenses and budgets using QuickBooks Online
- Collaborate across departments to collect, organize, analyze, and report on project and financial data via Excel, Google Sheets, and other platforms
- Issue invoices to clients and conduct follow-ups on a predetermined schedule, including conducting regular invoice audits
- Support Director of Operations in the completion of complex invoicing and scope tracking on projects
- With the Operations Specialist, conduct monthly to quarterly billing progress meetings with project directors
- Provide first-level review of vendor invoices and ensure monthly invoice close-out
- Manage the organization’s expense management process, including the review and approval of employee reimbursements
- Maintain electronic filing system for accounting backup documentation
- Develop and maintain financial trackers and forms, and work alongside the Director of Operations to conduct ad hoc analysis
- Manage accounts payable and accounts receivable processes, conducting analyses and elevating trends
- Coordinate sales and use tax processes using relevant tax software, and ensuring all tax exemption files are logged and up to date
- Support with ad hoc project finance requests
- Manage SchoolKit’s contract management processes, including issuing contracts, contract analysis and follow-up, and contract close-out for the purpose of maximizing financial and operational performance and minimizing risk
- Serve as point of contact for expense management software
- Create standard operating procedures and supporting documentation for financial and operational systems and tools
- Support standard business processes such as account creation and contractor-facing expense reimbursements
- Build positive and collaborative relationships with clients including state, district, school leaders to help achieve project goals and contribute to the continuation and expansion of our work
- Contribute to hiring and development of team members, while fostering an inclusive and supportive environment that reflects SchoolKit's culture, values, and commitment to diversity, equity, and inclusion
EXPERIENCE
- 5+ years of work experience leading finance and accounting workstreams and complex projects in an education-related organization such as a school, a school district, or a non-profit
- Minimum 2 years experience in contract management and administration required
- Knowledge of accounting and finance principles and best practices
- Proven ability to organize, prioritize, track, and manage workflow from multiple streams concurrently
- Strong project and process management orientation; highly organized
- Proven experience leading small collaborative teams and providing feedback to others
- A bachelor’s degree or equivalent experience in finance, accounting,or a related field
SKILLS
- Intermediate-advanced proficiency using Quickbooks Online required
- Excellent written and verbal communication skills for use with a variety of stakeholders
- Intermediate-advanced proficiency in GoogleSheets and Excel (Google Query, complex formulas)
- Demonstrated experience managing accounts payable, accounts receivable, and expense management software
- Intermediate proficiency in project management software (Monday)
- Approach the work with a flexible, innovative, and service-oriented perspective
- Tech-savvy and able to develop expertise in new technologies
- Demonstrate superb attention to detail: skilled at identifying, recording, and following up on complex action items
